1. Purpose of This Disclosure
ConnectingPilot LLC (“ConnectingPilot,” “Company,” “we,” “our,” or “us”) provides human-led career support services for professionals and students seeking employment in Life Sciences, Healthcare, Pharmaceuticals, Biotechnology, Medical Devices, Clinical Research, Regulatory Affairs, Quality Assurance, Quality Control, Validation, Manufacturing, Laboratory Sciences, and related fields.
This AI & Resume Assistance Disclosure explains:
- How ConnectingPilot may use artificial intelligence and other technology-assisted tools.
- The purposes for which those tools may be used.
- The role of human Career Pilots and Coordinators.
- The limitations of AI-generated or technology-assisted output.
- The Client’s responsibilities when reviewing resumes and application materials.
- How personal information may be processed when AI-assisted tools are used.
This Disclosure supplements ConnectingPilot’s:
- Terms and Conditions.
- Privacy Policy.
- User Agreement.
- Career Services Agreement.
- Data Processing Agreement.
- Acceptable Use Policy.
By creating an account, purchasing a service, completing onboarding, uploading career materials, or using ConnectingPilot’s services, the Client acknowledges the practices described in this Disclosure.
2. Definitions
For purposes of this Disclosure:
- “Artificial Intelligence” or “AI” means software or computer-based systems capable of generating, analyzing, organizing, summarizing, comparing, classifying, or recommending text, data, or other information.
- “AI-Assisted Output” means content, recommendations, scores, summaries, edits, keywords, drafts, comparisons, or other materials produced with the assistance of AI or automated technology.
- “Client Materials” means information supplied by the Client, including resumes, cover letters, LinkedIn information, employment history, educational history, certifications, licenses, skills, career preferences, work authorization information, and other professional data.
- “Career Pilot” or “Coordinator” means a ConnectingPilot employee, contractor, or authorized representative who provides human review, application support, resume assistance, or career guidance.
3. How ConnectingPilot May Use AI
ConnectingPilot may use AI or technology-assisted tools to support certain parts of its career-services workflow.
These tools may assist with:
- Reviewing resume structure and formatting.
- Identifying keywords contained in job descriptions.
- Comparing a resume with a target job description.
- Highlighting potentially relevant qualifications.
- Suggesting improvements to professional summaries.
- Recommending alternative wording for resume bullet points.
- Organizing skills, certifications, education, and employment history.
- Checking grammar, spelling, readability, and consistency.
- Preparing preliminary cover-letter drafts.
- Preparing preliminary recruiter or cold-email templates.
- Summarizing job descriptions.
- Categorizing job opportunities by role, location, seniority, or industry.
- Supporting application-record organization.
- Identifying potential gaps or inconsistencies for human review.
- Assisting Career Pilots with research and workflow management.
AI-assisted tools are used to support, rather than replace, the professional judgment of ConnectingPilot’s human Career Pilots and Coordinators.
4. Human-Led Service Model
ConnectingPilot provides a human-led career assistance service.
Our current service model is designed so that:
- A human Career Pilot or Coordinator reviews Client information.
- Job opportunities are evaluated against the Client’s approved preferences.
- Resume recommendations are reviewed before being used.
- Job-specific resume versions are prepared using Client-provided information.
- Applications are manually submitted through employer websites or applicant-tracking systems.
- Application activity is recorded in the Client dashboard.
- Final service decisions are not made solely by an AI system.
ConnectingPilot does not currently use AI as an autonomous replacement for its Career Pilots or Coordinators.
ConnectingPilot may use technology to increase efficiency, but the Company’s intention is to maintain meaningful human involvement in resume preparation and application support.
5. No Employer-Side Hiring Decisions
ConnectingPilot is a career-support provider and does not make employment decisions on behalf of employers.
ConnectingPilot does not currently use AI to:
- Hire or reject candidates on behalf of employers.
- Determine whether an employer must interview a candidate.
- Make final decisions concerning employment eligibility.
- Determine compensation, promotion, termination, or workplace discipline.
- Conduct automated video-interview scoring on behalf of employers.
- Make binding decisions regarding a Client’s access to employment.
Employers and their applicant-tracking systems may separately use their own automated tools. ConnectingPilot does not control the technologies, criteria, algorithms, or hiring practices used by third-party employers.
6. Resume Analysis and Tailoring
ConnectingPilot may use AI-assisted tools to help analyze a Client’s resume and compare it against individual job descriptions.
Resume assistance may include:
- Reorganizing information for clarity.
- Improving professional phrasing.
- Adjusting the order of relevant experience.
- Incorporating appropriate job-description terminology.
- Highlighting Client-provided qualifications relevant to a position.
- Removing irrelevant or repetitive language.
- Improving formatting for applicant-tracking-system compatibility.
- Preparing job-specific versions of a Client’s resume.
ConnectingPilot will not knowingly use AI to invent or fabricate:
- Employment experience.
- Educational qualifications.
- Degrees.
- Certifications.
- Professional licenses.
- Technical skills.
- Publications.
- Research experience.
- Clinical experience.
- Regulatory experience.
- Accomplishments or performance metrics.
- Immigration or work-authorization information.
All resume content must be based on information supplied or approved by the Client.
7. Client Review and Approval Responsibility
Before approving the Client’s initial profile and resume, the Client should confirm the accuracy of:
- Employer names.
- Employment dates.
- Job titles.
- Educational institutions.
- Graduation dates.
- Certifications and licenses.
- Technical skills.
- Professional accomplishments.
- Research and publication information.
- Visa and work-authorization information.
- Salary and location preferences.
The Client must not approve or request the submission of information that the Client knows is false, exaggerated, deceptive, or materially incomplete.
ConnectingPilot relies on the accuracy of information supplied by the Client and cannot independently verify every credential, date, qualification, or professional claim.
8. ATS Scores and Compatibility Assessments
ConnectingPilot may use internal methods, third-party tools, or AI-assisted systems to estimate how well a resume aligns with a job description or applicant-tracking system.
Any ATS score, match score, compatibility score, keyword score, or optimization score:
- Is an estimate rather than an employer-issued result.
- May differ between tools and applicant-tracking systems.
- Does not represent a universal industry standard.
- Does not guarantee that an employer’s ATS will accept or rank the resume.
- Does not guarantee that a recruiter will review the resume.
- Does not guarantee an interview or job offer.
- May change when a job description, resume, or scoring method changes.
An advertised score reflects an optimization objective or assessment generated under the applicable method. It must not be interpreted as a guaranteed hiring outcome or guaranteed performance within every employer system.
Where ConnectingPilot offers to re-optimize a resume that does not meet an advertised internal score, the available remedy is limited to additional resume review or re-optimization unless otherwise stated in writing.
9. No Guarantee of Interviews or Employment
The use of AI, resume optimization, keyword alignment, manual submissions, cold-email templates, and interview coaching cannot guarantee employment outcomes.
ConnectingPilot does not guarantee:
- Applicant-tracking-system approval.
- A specific ranking within an employer’s system.
- Human review by a recruiter.
- Recruiter communication.
- Interview invitations.
- Advancement to later interview stages.
- Job offers.
- Salary levels.
- Visa sponsorship.
- OPT or STEM OPT eligibility.
- H-1B sponsorship.
- Employment duration or career advancement.
Hiring results depend on factors outside ConnectingPilot’s control, including the Client’s experience, qualifications, location, work authorization, employer requirements, labor-market conditions, competition, interview performance, and employer decisions.
10. Potential AI Limitations
The Client understands that AI-assisted systems are not infallible.
Potential limitations include:
- Incorrect or outdated information.
- Incomplete analysis.
- Misinterpretation of specialized terminology.
- Repetitive or generic language.
- Incorrect assumptions about a Client’s experience.
- Overemphasis or underemphasis of certain keywords.
- Formatting recommendations that may not work in every employer system.
- Failure to understand context, nuance, or industry-specific requirements.
- Biased, inconsistent, or inappropriate recommendations.
- Output that resembles content generated for other users.
ConnectingPilot uses human review and other safeguards to reduce these risks, but it cannot guarantee that every error will be identified before use.
Clients should promptly report suspected errors to their assigned Career Pilot.
11. Fairness, Bias, and Nondiscrimination
AI-assisted systems may reflect limitations or biases present in their design, training data, source information, or user instructions.
ConnectingPilot intends to use AI-assisted tools in a manner consistent with legitimate career-support purposes and not for unlawful discrimination.
ConnectingPilot does not intentionally use protected characteristics to exclude Clients from career services or determine which Clients deserve employment support.
Protected characteristics may include, as applicable under law:
- Race
- Color
- Religion
- Sex
- Pregnancy
- Sexual orientation
- Gender identity
- National origin
- Age
- Disability
- Genetic information
- Veteran status
Job recommendations may consider lawful, Client-approved employment criteria such as:
- Education, experience, skills, certifications, and professional licenses.
- Location, salary preferences, and work arrangement.
- Work authorization and employer-stated qualifications.
Clients may contact ConnectingPilot if they believe an AI-assisted recommendation is inaccurate, inappropriate, inaccessible, or potentially discriminatory.
12. Accessibility and Accommodations
ConnectingPilot recognizes that automated or standardized recommendations may not fully account for disability-related circumstances or accommodation needs.
Clients may request reasonable communication or service adjustments by contacting ConnectingPilot.
Where reasonably available, ConnectingPilot may:
- Provide human clarification of AI-assisted recommendations.
- Review content that the Client believes is inaccessible.
- Correct information affected by an automated misunderstanding.
- Use an alternative method for providing career-support materials.
ConnectingPilot does not make disability-related hiring decisions and cannot control accessibility or accommodation practices used by third-party employers.
13. Cold Emails and Communication Assistance
ConnectingPilot may use AI-assisted tools to prepare drafts of:
- Recruiter outreach messages and networking emails.
- Application follow-up emails and thank-you messages.
- LinkedIn connection messages and interview follow-up communications.
These materials are templates and must be reviewed by the Client before sending.
The Client is responsible for:
- Confirming recipient information and fact accuracy.
- Personalizing the message and using an appropriate tone.
- Complying with applicable communication rules and platform policies.
- Deciding whether and when to send the message.
ConnectingPilot does not guarantee that a recruiter, hiring manager, employer, or professional contact will respond.
14. Personal Information Used in AI-Assisted Workflows
AI-assisted tools may process portions of Client Materials when necessary to provide the requested service.
Information processed may include:
- Resume content and employment history.
- Educational history, skills, and certifications.
- Target job descriptions and professional summaries.
- Career preferences and application-related information.
ConnectingPilot will process Client information in accordance with its Privacy Policy and Data Processing Agreement.
Clients should not provide unnecessary highly sensitive information, including:
- Social Security numbers, complete passport numbers, or driver’s license numbers.
- Bank account or payment card information.
- Account passwords unrelated to authorized service delivery.
- Medical records or biometric information.
- Confidential information belonging to a current or former employer.
Where such information is required for a legitimate application step, the Client should use the secure method specified by ConnectingPilot or enter the information directly into the applicable employer portal.
15. Third-Party AI Service Providers
ConnectingPilot may use third-party technology providers to support AI-assisted services.
Depending on the tool and configuration, a third-party provider may temporarily process:
- Text submitted for analysis and resume excerpts.
- Job descriptions and professional profile information.
- Technical logs and usage information.
Third-party providers maintain their own privacy practices, security controls, and contractual terms.
ConnectingPilot will use commercially reasonable efforts to:
- Select reputable service providers and limit shared info.
- Use appropriate privacy and security settings where available.
- Restrict unauthorized access to Client Materials and avoid submitting sensitive information.
ConnectingPilot cannot guarantee the continuous availability, accuracy, security, or performance of third-party AI systems.
16. Model Training and Secondary Use
ConnectingPilot does not sell Client resumes or career information to data brokers.
ConnectingPilot does not intentionally use Client Materials to create a publicly available resume database without authorization.
ConnectingPilot does not independently use identifiable Client Materials to train a public general-purpose AI model unless the Client has provided clear authorization or the information has been appropriately de-identified and its use is otherwise permitted by law.
Third-party AI providers may have their own data-retention and model-improvement practices. ConnectingPilot will use available contractual, account, or configuration controls to limit such use where reasonably practicable.
17. Confidential and Proprietary Information
Clients must not provide ConnectingPilot with confidential or proprietary information belonging to an employer, university, research institution, client, patient, sponsor, or other third party unless the Client has legal authority to disclose it.
Prohibited materials may include:
- Trade secrets or confidential manufacturing information.
- Unpublished clinical-trial information or protected health information.
- Patient records, proprietary protocols, or confidential regulatory submissions.
- Nonpublic product-development data or internal employer documents.
- Restricted research data.
ConnectingPilot may remove or decline to process information that appears to violate confidentiality, privacy, intellectual-property, or contractual obligations.
18. Ownership of Client Materials and Deliverables
The Client retains ownership of original information and documents supplied to ConnectingPilot, subject to any rights belonging to third parties.
Upon full payment, the Client may use finalized resumes, cover letters, and personalized career materials prepared specifically for the Client for personal job-search purposes.
ConnectingPilot retains ownership of:
- Its platform and dashboard, general templates, and training materials.
- Proprietary methods, internal prompts, workflows, and scoring methodologies.
- Business processes, software, technology, branding, and website content.
AI-assisted content may not always qualify for exclusive intellectual-property protection. ConnectingPilot does not guarantee that every AI-assisted phrase, format, or output will be unique or legally protectable.
19. User Requests and Human Review
Clients may ask their Career Pilot:
- Whether AI-assisted tools were used for a particular service.
- To correct inaccurate information or review an AI-generated suggestion.
- To remove unsupported content or explain the basis for a resume recommendation where reasonably available.
- To provide additional human review.
ConnectingPilot will make reasonable efforts to address such requests.
A request to avoid a particular AI tool may affect service availability, delivery time, or available features when that tool is integral to the applicable workflow. ConnectingPilot will explain available alternatives where reasonably practicable.
20. Immigration, Legal, and Professional Advice
AI-assisted information regarding immigration, employment law, taxes, compensation, licensing, or professional regulation is provided only as general information.
ConnectingPilot is not a law firm, immigration firm, tax-advisory firm, or government agency.
Clients should consult an appropriately licensed attorney, tax professional, Designated School Official, licensing authority, or other qualified professional before relying on information involving legal rights or regulatory obligations.
21. Changes in Technology and Service Practices
AI technology, laws, regulatory expectations, vendor practices, and ConnectingPilot’s services may change over time.
ConnectingPilot may update this Disclosure to address:
- New AI-assisted features and changes in third-party providers.
- New privacy or employment requirements and changes in data-processing practices.
- Updated risk-management procedures and changes in the role of human review.
Material updates will be posted with a revised effective date. Where required by law, ConnectingPilot will provide additional notice or obtain consent.

23. Client Acknowledgment
By using ConnectingPilot’s services, the Client acknowledges that:
- ConnectingPilot may use AI-assisted tools for limited career-support purposes.
- ConnectingPilot’s service remains human-led.
- AI-assisted output may contain errors or limitations.
- The Client must provide truthful and accurate information.
- The Client must review and correct application information when requested.
- ConnectingPilot will not knowingly fabricate credentials or qualifications.
- ATS and compatibility scores are estimates and not employment guarantees.
- Employers retain complete control over hiring decisions.
- AI-assisted services do not guarantee interviews, sponsorship, or employment.
- Personal information may be processed as described in ConnectingPilot’s Privacy Policy and Data Processing Agreement.
